The Challenge
Wedding planning is a scheduling problem hiding inside a communication problem. Wedding planners and venue managers typically rely on a rotating roster of freelance and part-time vendors, photographers, DJs, florists, servers, and day-of coordinators, none of whom are full-time employees, and all of whom juggle multiple bookings across different planners and venues.
Before working with Upverse, our client's target customers were managing all of this manually: tracking vendor availability in spreadsheets, chasing confirmations over email and phone, and hoping nothing fell through the cracks. The result was a familiar, stressful question every wedding planner asked themselves the night before a ceremony: "Is every vendor actually confirmed for tomorrow?"

The Brief
Our client came to Upverse with a clear problem and a rough product vision: build a scheduling platform specifically for businesses that coordinate non-employee, freelance vendor teams around fixed, high-stakes event dates, not a generic HR or shift-scheduling tool retrofitted for the job. They needed a partner who could take that vision from concept to a production-ready SaaS product, and who understood both the technical build and the day-to-day realities of wedding and event planning.
The Solution
Upverse designed and built a purpose-made wedding and event coordination platform around three core workflows:
Event creation, simplified. Planners can spin up a new wedding or event in seconds, detailing what, when, and where, then attach notes, files, and dress codes so nothing gets lost between the initial booking and the big day. Past events can be duplicated, so a planner running a busy wedding season can set up weeks of bookings in minutes instead of starting from scratch each time.
Vendor scheduling that respects real availability. Rather than assuming vendors are full-time employees, the platform flips the model: it asks vendors directly whether they're available. Planners assign roles, such as photographer, DJ, florist, or day-of coordinator, and vendors receive a work invitation they can accept or decline. Built-in block-out dates mean planners see who's actually available before they try to book them, eliminating the back-and-forth that used to eat up hours. A waitlist feature lets planners over-invite backup vendors for a date with confidence, with the system automatically managing the overflow.
A single source of truth for wedding-day readiness. The platform gives planners a real-time view of which weddings are fully staffed and which still need attention, replacing a mental checklist (or a messy spreadsheet) with a clear, at-a-glance dashboard. For vendors, a mobile-friendly view surfaces their schedule, event details, directions, and reminders in one place.
Under the Hood
A few technical decisions shaped the product's reliability and ease of use:
- Two-sided design from day one: separate, purpose-built experiences for planners and vendors, rather than one interface serving both awkwardly
- Conflict-aware scheduling logic: availability and block-out data are checked at the point of invitation, so planners can't accidentally double-book a vendor across two weddings
- Notification-first architecture: invitations, reminders, and event updates are delivered via email (with the infrastructure built to extend to SMS/push), directly targeting the "missed message" no-show problem
- Mobile-responsive by default: vendors needed a frictionless way to view and respond to invitations from their phones, with no app download required

Since launch, the platform has become the operational backbone for wedding planners, venue managers, and boutique event businesses that rely on flexible freelance vendor teams.
